Q1: Melanie Bernier: We are still wondering about the ASA Account/PO# field.  Kathy and I removed the number showing in that field within the Schreyer’s Honors College Customer Account – if you go out there you’ll see that field is blank.  Then when we ran an invoice for them just a few minutes afterwards, the number showed up in the ASA Account field on the invoice.   It must be pulling that number from some where else; do you have any idea of where that could be?

A1: Cheri Graham: When you remove the ASA Account/PO# field value from the Customer record, it will only effect new reservations/bookings. For any existing reservations/bookings you must go into each one and remove the value. Browser, filter by Customer, Select and Open Reservation, Properties tab, Edit Billing Information.

Q2: Melanie Bernier: Kathy and I have been trying to create our own report that has Event Date, Event Room, Event Name, Billing Contact, Billing Address, ASA Account #, Budget Routing #, Amount.  We’ve been able to create one with everything except Event Date and Event Room under the Query Builder.  We can’t seem to find either Event Date or Event Room as an option when we choose a ‘billing’ type report.  Any suggestions?

A2: Cheri Graham: The only fields available in Query Builder are the ones that are listed (defined and controlled by Dean Evans). I have looked at the latest 5.1 patch (#29) and it does not mention the Event Date or Event Room as options. I looked at the release notes for the next version 5.2.1 and it states that there are improvements in Query Builder, but it didn't list specific fields. If your need is not satisified with the next release, we can submit an enhancement request.

Q3: Bob Brouse: Notifications used to appear on the Dashboard to alert me to pending web users. The notification section is not on the Dashboard anymore.

A3: Cheri Graham: There was not a rule set up for Notfications for new web users. I do not know what happened to it. I recreated one.

      Configuration - Administration - Notification Rules

      I added the rule New Web Users.

      The Notifications section now appears on the Dashboard.

Subject: EMS Virtual Mobile We had a user try to get to our virtual EMS site reservations.psu.edu from their mobile device and it asked for a userid and password.

Could you offer some documentation and/or explanation on this? Everyone should be able to browse to the site regardless of the means they are using to connect to the internet.


The user could get to reservations.psu.edu/virtualems/browseevents.aspx if they typed in that url.

What is the mobilelogin.aspx and the mobile pages for? How/Where are they configured? Etc…

The mobile page that your user is seeing is not an error, it is their “mobile” login area for virtual ems (VEMS username and password will work).  The mobile portion of our site is limited to allowing users to request space, view reservations they have, log in, and log out.  If the user wants to do anything more they will need to navigate to the regular Virtual site.

I don’t see May timeframe being a problem.  Also in a standup meeting in the Events office yesterday, it was discovered that for some reason, none of the email confirmations sent out through EMS show up in EMS but in our own outboxes.  The last email confirmation we can find in EMS was 4/14/2010. 


Was there an upgrade to Outlook or EMS that would have caused the change?

Subject: EMS-Enterprise Admins The HUB personnel discovered a problem with the e-mail initiated out of EMS-Enterprise.

Dean Evans support had to be contacted for resolution. Thank you Bob Brouse for contacting and working with Dean Evans support.


The problem was that EMS-Enterprise was using Outlook instead of SMTP. This is a setting changeable only by an Admin.

The change for e-mail from SMTP to Outlook occurred sometime on April 14, 2010. There is no audit on this particular screen so we don’t know who made the mistake. All the e-mails (confirmations, invoices, etc.) sent from April 14 through yesterday April 21 (when the problem and fix were discovered) are in each individual Outlook mailbox instead of in the EMS system. Remember this if you are looking in EMS e-mail history.


Please be cautious of any global settings that you modify, as the effect may not be what you desired.

When you exceed the amount of Client licenses it will not allow an additional user onto the system until someone has logged off. Did you want to talk to someone about adding to your license count? Please let me know if you have any additional questions.

The final build for 5.2.1 was 41.0.68 and latest patch is 32. There was not anything directly related to your issue in the release notes, but that does not mean it was not fixed with either the new build or patch. The procedure would be to get you on the latest build and patch and see if the issue gets resolved. I guess it all depends on when the upgrade to 6.0 is going to occur. We don’t need additional licenses as we do not have that problem.

Some of our users are experiencing a message ‘You have been logged out by another user.’ I was pretty sure that it wasn’t caused by a licensing problem, but I needed to check with you to be sure.

I know that Admins can log people out, but this isn’t what is happening in these cases; we are pretty sure it occurs during periods of inactivity. The user leaves the client open and when they come back they have this message on the screen.

Is there a time-out period? Would it give this message? Just trying to understand what is happening to be able to inform the users.

Is it possible to reserve more than one space using the client (not the browser) for the same times on the same day?

If you have identical reservations to be made you can copy the booking to other days and rooms after creating the original. Below is from the meeting. You should be able to copy the exact set up and request as often as you want and in as many rooms as you want.

Open the Book

  • Right click on an event

Copy booking

  
Additionally you can also do something similar using the Reservation wizard and selecting multiple dates and or using the date pattern button as well. We did not cover that at the meeting I just found that by playing around with the software.

  1. A situation came up today whereas if we had the capabilities, I could have e-mailed an invoice to a customer. I did it by scanning it to me and than forwarding it on the the customer. Is there some way through EMS where I have that option. I've looked and it seems like at the confirmation level there could be an e-mail sent but not at the invoice level.

    1. You can send an invoice to a customer.

      Bring up the invoice to view, then select the e-mail button from the top left of the document.
